How to Set Up Scoresheet Tabulation
Objective
The objective of this SOP is to guide the activation and setup of Scoresheet Tabulation on Pageant Planet to ensure accurate and efficient scoring for pageant events.
Key Steps
Log into your profile and navigate to the dashboard. Ensure the "View Your Profile As" setting is on "Pageant".
Select the specific pageant and event you want to set up Scoresheet Tabulation for.
Add contestants if needed before proceeding to the Scoresheet Tabulation section.
Ensure you are a diamond advertiser to activate Scoresheet Tabulation .
Verify and set up age divisions and phases of the competition accurately.
Adjust age divisions and competition phases if needed by clicking on "Edit Event Details".
Set up optional phases of competition scoring as required.
Set the start date and time for scoring based on the event's time zone.
Customize scoring options for different age divisions based on their competition requirements.
Add judges and assign their roles and scoring preferences.
Configure weighted scoring, multiple rounds, and contestant deadline visibility settings.
Set award titles for special recognitions within the pageant.
Review all settings and confirm before activating the score sheet.
Cautionary Notes
- Scoresheets must be set-up ONE month prior to pageant event, and you must have all judges contact information ready. The latest a scoresheet can be set-up is two weeks before the event. This is to ensure we have tech and staff ready on standby for your event and to ensure ALL has access and trained in utilizing the system.
Ensure age divisions and competition phases are set up accurately to avoid scoring discrepancies.
Check the time zone settings to ensure scoring starts at the correct time.
Double-check all settings before saving to prevent errors in the scoring process.
- If you have optional phases of competition you must add the contestants who are competing in those optionals after you have set up Scoresheet.
- Contestants cannot be added or removed from Scoresheet Tabulation after judges have began scoring, therefore, if contestants drop out or sign up last minute be sure to update your contestant list before the scoring begins.
Tips for Efficiency
Utilize the "Edit Event Details" option to make quick adjustments to age divisions and competition phases.
Save time by setting up default options for judges and contestant visibility preferences.
Review all settings thoroughly before activating the score sheet to avoid last-minute changes.
